Communication
Palo Alto Swim Club is committed to keeping families aware of what is going on in the Club as well as the larger PASA organization and the local swim community. Information on Club policies such as Membership and Fees as well as opportunities to fulfill the family Work Hour Obligation is updated on the Club website on a regular basis. Time sensitive or other urgent information is sent to the membership via email. In addition, each Practice Group (Turtles, Dolphins, etc.) has its own section on the website and a Parent Coordinator who is available to assist families with questions that they may have. New families should take advantage of this valuable resource. Your swimmer’s coach is also available to answer questions regarding your swimmer and his/her progress, however, please remember that the coaches need to devote full attention to the swimmers during practice. If you need to contact your child’s coach, please do so either before or after practice or via email.
Website
PASC’s website is the central “hub” of information for the team. Team families should make a practice of visiting the website on a regular basis to stay abreast of Practice Group news and updates, PASC Club news and PASA-wide news and information.
It is our goal to keep the PASC website as current as possible and for it to be the “first-stop” for PASC information and news including practice time changes, swim meet schedules, etc. As necessary, the site is updated on a daily basis. Our webmaster can be reached at
The PASC website can be reached via the link at the PASA “umbrella” website at www.pasa-swim.org. Links to all the PASA sites can be found on this site. In addition, the site contains cross-Club news of general interest to PASA families.
PASC uses email to notify Club families regarding time sensitive or other urgent information. Both general Club emails as well as workout group specific emails are sent as necessary by the Club’s e-postmaster, or by their swimmer’s coach or workout group Parent Coordinator.
PASC families who provided email addresses to the Club on their registration forms are automatically included on PASC’s club-wide email distribution list. It is each family’s responsibility to notify the Membership Chair of any changes or updates to their email addresses or to other information.
Parent Coordinators
A Parent Coordinator has been assigned to each workout group to assist the coaches with group specific communication, events, etc. In addition, the Parent Coordinator is a valuable source of information for team families, and is available to answer questions and assist families as needed. Families new to the team should take advantage of this valuable resource. If your group’s Parent Coordinator is unable to answer a question you have, he/she will find the right person in the organization who can answer your question.
File Folders
Each swimmer has a folder in the team file cabinet in the Team Room. The Coaches may put ribbons and awards, copies of handouts and/or fliers in swimmer’s folders in addition to handing them out at practice. Meet entry sheets for all Pacific Swimming meets the team attends are available on each group’s Practice Group webpage as well as on the Pacific Swimming website at www.pacswim.org under the “Meets” section of the website.
Parent Meetings
An Annual Parent Meeting is held at the start of each swim year during the month of September. The purpose of the meeting is for Parents to meet the coaches, vote in the new Board of Directors slate, review the state of the Club including its financial status, get information about new programs, learn about ways to fulfill your family’s Work Obligation and ask questions.
In addition, from time to time, especially at the beginning of the swim year, the coaches may call special parent meetings for their groups’ parents to review practice schedules, group expectations, etc.
Team Roster
A copy of the full team roster will be forwarded periodically to team families. To update your family’s information please contact our Membership Chair at . Parent Coordinators maintain Practice Group rosters and will forward them to families in their Practice Group as needed.
